Financial Assistant

Northwestern’s School of Education and Social Policy (SESP) is looking for a Financial Assistant to work with our Faculty Support and Doctoral Student Affairs program, assisting with the day-to-day financial, accounting and administrative transactions and processes. The Financial Assistant completes reconciliation procedures, maintains and finalizes financial transactions, reviews and ensures best practice and policy compliance, and assists with administrative tasks- all while providing excellent customer service.

Primary Duties:

  • Prepares account, budget, cost, expenditure &/or funds analysis
  • Creates reports & queries; reviews for incomplete records, data entry errors, &/or accounting mistakes
  • Approves appropriate expenses, purchases and reimbursements per budget
  • Completes & maintains transactions in enterprise system
  • Provides review and oversight of all types of financial transactions some of which may be complex in regard to size or duration of account. Enters information into database.
  • Performs vendor/account research as needed. Obtains additional information from or provides instruction & guidance for customers/vendors; corrects or escalates.
  • Provides excellent customer service, over the phone and in person answering standard questions regarding status of requests, policies and procedures for processing transactions, &/or instructions for completing paperwork.
  • Instructs & advises regarding options and appropriate courses of action & follows-up inquiries to ensure customer satisfaction.
  • Completes other administrative &/or clerical activities such as organizing meetings; reserving AV equipment
  • Responds to business matters involving administrative functions associated with education, research, and/or operations.
  • Creates and maintains associated documents, spreadsheets, databases, meetings, special events, etc. and alerts supervisor of critical issues and upcoming events.

Minimum Qualifications:

  • High school diploma or the equivalent.
  • 3 years accounting &/or bookkeeping experience or the equivalent combination of education & experience.
  • Excellent computer skills including proficiency in the use of spreadsheet, database and word processing software.
  • Familiarity with financial reporting.
